Refund Policy

1. General Policy 

At Heart Of Care Canada, we are committed to providing high-quality care and transparent billing practices. This Refund Policy outlines the circumstances under which refunds may be issued for services provided.

2. Prepaid Services

Where services are prepaid, refunds may be considered under the following circumstances:

  • Services were paid for but not yet delivered

  • Services were cancelled within the required notice period

  • A billing error occurred

Refunds will be issued only for services not rendered. Any services already provided will be billed accordingly.

3. Cancellation Policy

Clients must provide advance notice if they need to cancel or reschedule a service appointment.

  • Cancellations made within the agreed notice period will not be charged.

  • Late cancellations or missed appointments may be subject to a cancellation fee.

Specific notice periods and fees, if applicable, will be outlined in your service agreement.

 

4. Early Termination of Services

If services are discontinued by the client, refunds (if applicable) will be calculated based on:

  • Services already provided

  • Administrative costs incurred

  • Any non-refundable fees outlined in the service agreement

 

5. Non-Refundable Fees

Certain fees may be non-refundable, including but not limited to:

  • Administrative or assessment fees

  • Completed consultations

  • Services already delivered

These will be clearly communicated prior to service delivery.

6. Refund Process

Approved refunds will be processed using the original method of payment whenever possible. Refunds are typically issued within 7–14 business days after approval.

If you have any questions regarding billing or believe a refund should be considered, please contact us directly. We are committed to resolving concerns fairly, respectfully, and in accordance with Ontario consumer protection laws.
